Position Summary
The School Officer (Enquiries and Enrolments) is a key frontline role providing professional reception services and
supporting enrolment administration from initial enquiry through to commencement. As a primary point of contact,
the role shapes first impressions of the School while ensuring the accurate and efficient flow of student and family
information, working closely with the Registrar and Business Operations team in alignment with the School’s values
of Faith, Performance and Honour.

Selection Criteria
SC1 Demonstrated ability to provide professional, welcoming and responsive frontline reception and customer

service in a busy environment, managing enquiries from students, families, staff and visitors with
confidence and care.

SC2 Proven administrative capability with strong attention to detail, including supporting enrolment processes,

maintaining accurate records across systems, and managing competing priorities effectively.

Position Summary

The School Officer (Enquiries and Enrolments) is a key frontline role that combines high-quality reception
services with comprehensive enrolment administration. As one of the School’s primary points of contact, the
position provides a professional, welcoming and responsive service to students, families, staff and visitors, while
also supporting the end-to-end enrolment journey from initial enquiry through to commencement and onboarding.

The role plays a critical part in shaping first impressions of the School and ensuring the efficient flow of
information through the main administration office. It requires exceptional customer service skills, strong
organisational capability, and meticulous attention to detail to ensure the accuracy and integrity of student and
family data across School systems.

Working closely with the Registrar and Business Operations team, the School Officer (Enquiries and Enrolments)
supports enrolment processes from Junior (Early Learning Centre) through to Year 12, while balancing the
competing demands of a busy reception environment. The role requires discretion, professionalism and a
commitment to confidentiality, aligned with the School’s values of Faith, Performance and Honour.

Key Responsibilities
Under the direction of the Head of Business and Operations, carry out the following responsibilities to support the
effective operation of the School’s reception services and enrolment processes:

Reception and Front Office Services

  • As the School’s first point of contact, provide courteous, professional and friendly assistance to
students, families, staff, and visitors at all times.

  • Greet visitors and manage front-of-house operations, ensuring a welcoming and professional
environment

  • Answer and manage incoming telephone calls, screening and directing enquiries to the appropriate staff
members

  • Respond to general enquiries from the community, parents, students and staff, providing accurate
information or referrals as required

  • Manage the flow of information through the main administration office, including phone, email and
in-person enquiries

  • Open and close the administration office as required, including securing doors, lights and
air-conditioning

  • Ensure all visitors follow sign-in and sign-out procedures in accordance with School requirements
  • Receive, receipt and process payments from parents, students or staff in TASS in a timely manner,
including daily reconciliation of cash receipts and banking

  • Receive and distribute deliveries, mail and couriers, and facilitate outgoing mail
  • Maintain stationery and general office supplies, monitoring stock levels and ordering as required
  • Assist with the set-up of minor School functions and events as needed
  • Maintain the Reception and administration areas to a high standard of cleanliness, presentation and
professionalism

  • Support general office administration tasks and provide relief or backup reception and phone coverage

as required

  • Maintain shared staff kitchen and lunchroom areas within the administration space, including restocking

supplies where necessary.

Enrolment Administration and Data Management

  • Provide accurate, timely and confidential administrative support for enrolment processes across all year
levels

  • Enter and maintain accurate enrolment data in School systems (e.g. TASS, OWNA) for all students
from Junior to Year 12

  • Prepare and manage enrolment documentation, ensuring all required forms and supporting information
are completed and filed appropriately

  • Monitor applications, waiting lists, and student movement to maintain accurate enrolment records and
projections

  • Assists the Registrar in overseeing Communication Rules and data validation with regard to parent and
student information in TASS and associated systems

  • Support the allocation of students to Houses, ensuring balanced distribution and alignment with School
processes

  • Coordinate paperwork follow-up for outstanding enrolment forms, payments, and medical information.
Family Communication and Customer Service

  • Deliver a high standard of customer service to prospective and current families throughout the
enrolment and onboarding process

  • Respond promptly and professionally to enrolment-related phone and email enquiries
  • Provide clear and accurate information to families regarding application processes, documentation
requirements and key timelines

  • Assist with enrolment correspondence, including offers, acceptance documentation and onboarding
communications

  • Maintain discretion and confidentiality when handling personal, sensitive or confidential information
  • Support the coordination of new family events, such as orientation days, uniform fittings, and welcome

communications.

Administrative Support and Collaboration

  • Provide flexible administrative support across Business Operations and related teams, particularly
during peak enrolment periods

  • Assist with processing administrative tasks associated with the international student program, including
documentation, data entry, and coordination of related activities

  • Support uniform fitting bookings and other onboarding activities for new students and families
  • Assist with the preparation of enrolment-related correspondence, mail-outs, and documentation
  • Provide general administrative support to the Business Operations team during periods of high demand,
staff leave, or School events, including backup assistant to reception and phone duties as required

  • Undertake administrative functions to support the duties of the Registrar, including data management,
reporting, and record maintenance in line with School policies and procedures

  • Carry out other duties as directed by the Registrar or delegate, within the scope of skills and

capabilities, to support the effective operation of the Enrolments Office and other School departments
such as (but not limited to) the Learning Hub, Student Services, or Business Operations.

Education /Professional Qualifications
Essential

  • Working with Children Check (Blue Card or Exemption Card).
Desirable

  • Qualification in Business Administration or equivalent field
  • Current First Aid, CPR certificate.
Knowledge and Experience

  • Familiarity with financial software systems (e.g., TASS) and the ability to quickly learn new platforms
  • Experience in school or education settings (desirable but not essential).

  • Ability to perform tasks that involve extended periods of sitting, data entry, and computer work

  • Capacity to lift, carry, and organise files, documents, and marketing materials (up to 10kg)
  • Frequent movement around the School campus to assist with enrolment events, uniform fittings, and
family tours

  • Ability to maintain focus and accuracy when working under time constraints or in a busy, open-plan office

environment.
