Personal Assistant to Director Corporate Services

We are seeking an experienced and professional personal assistant with a passion for operations.

As the Personal Assistant to the Director of Corporate Services, you will work closely with the Director, providing efficient, effective, and confidential secretarial support whilst ensuring a professional and cooperative work environment within the directorate.

Some of your core functions include:

  • Delivery of confidential and high quality secretarial and support services to the Director and other staff (as required) including, but not limited to word processing and researching information.
  • Assist the Director in the management of correspondence including reviewing all correspondence regularly and preparing responses on behalf of the Director.
  • Preparation of Agendas for the Council and Committee meetings.
  • Preparation and distribution of Meeting Minutes with a public audience in live streamed Council and Committee Meetings.
  • Achievement of timely and effective customer focused service including monitoring and assessment of all telephone, written and personal enquiries. Respond to enquiries or refer to relevant Director or officer if appropriate.
  • Research and coordinate response to Councillor requests and assist in preparation of presentations to Councillors.
  • Control and maintain appointments for the Director. Under general instruction or using own judgment, plan and organise meetings and appointments to ensure that the relevant officers and the necessary information are available. Attend and minute meetings as required.
  • Assisting with financial management tasks including reviews of fees and charges, procurement duties and the monitoring of expenditure and monthly purchase orders.

Your preferred candidate will demonstrate the following skill set:

  • Highly Developed secretarial and administrative skills.
  • Previous experience as a Personal Assistant or Secretary.
  • Demonstrated experience in Preparing Agendas and Minutes.
  • Proven ability to work under pressure, use initiative and be well-organised.
