About the role

We are seeking an experienced Administration Officer to join NQ Family Therapy Centre Pty Ltd in our Gulliver, Queensland location. This is a part-time position working on Mondays & Fridays with the potential for an additional day. The role offers flexibility whilst supporting the essential administrative functions of our busy private psychology practice. As Administration Officer, you will be the backbone of our operations, ensuring smooth day-to-day functioning and providing vital support to our clinical and management teams. This role is crucial to maintaining the high standards of service delivery our clients expect whilst supporting our therapists and administrative staff.

Key responsibilities

  • Manage client scheduling, appointment bookings and cancellations using practice management software

  • Process client invoicing, payments and maintain accurate financial records

  • Handle telephone enquiries and provide professional, courteous support to clients and referring practitioners

  • Maintain confidential client files in accordance with privacy legislation and practice protocols

  • Prepare and process patient documentation, consent forms and intake paperwork

  • Manage practice supplies, equipment ordering and inventory control

  • Provide administrative support to clinicians and management, including scheduling and report preparation

  • Assist with reception duties as required, ensuring a welcoming environment for clients

  • Contribute to practice compliance by maintaining accurate records and supporting quality assurance processes

What we're looking for

  • Proven experience in medical or healthcare administration, preferably within a psychology or therapy practice

  • Proficiency with practice management software and Microsoft Office applications

  • Strong organisational and time management skills with the ability to prioritise multiple tasks

  • Excellent communication skills, both written and verbal, with a professional and courteous approach

  • Demonstrated ability to maintain confidentiality and handle sensitive information appropriately

  • Sound understanding of privacy legislation relevant to healthcare settings (such as Privacy Act 1988)

  • Attention to detail and accuracy in administrative tasks and record-keeping

  • Customer service experience and a genuine commitment to supporting client wellbeing

  • Preferably, knowledge of AHPRA registration requirements or experience working in regulated healthcare environments
