Administration Officer

 

Location – Parramatta, Sydney

Employment type – Temporary, Full Time (12 months)

Salary – Clerk Grade 3/4 - $84,659 - $92,701 (plus employer’s contribution to superannuation and annual leave loading)

 

Your role

 

As an Administrative Officer, you will provide administrative and support services to facilitate the operation of the Corrective Services NSW Child Protection Coordination and Support Unit 

 

What you’ll do

 

  • Provide a range of administrative and support services, including records management, routine correspondence, meeting and event coordination, to support the effective operation of the team/unit
  • Delivering multiple administrative support activities and services in line with agreed standards, timeframes and milestones in a non‑stop, high‑volume environment, requiring sustained attention to detail despite competing demands
  • Managing constant competing priorities, including a high volume of emails, phone calls, scheduled tasks and urgent matters, often with frequent interruptions and changing priorities
  • Making effective day‑to‑day decisions in a busy and time‑critical environment, balancing tight deadlines while maintaining accuracy, discretion and professionalism
  • Regularly engaging with emotionally distressed members of the public and handling highly sensitive, emotive and sometimes distressing information relating to children, requiring emotional resilience and sound judgement
  • Collect and compile information for, and prepare documentation and correspondence in line with quality and organisational requirements, to support information flow and inform decision making
  • Respond to enquiries, and escalate and redirect issues as required, to ensure the provision of accurate information
  • Update and maintain records and databases, complying with administrative systems and processes, to ensure that all information is accurate, stored correctly and accessible
  • Delivering multiple administrative support activities and services in line with agreed standards, timeframes and milestones, given tight timeframes and the need to maintain accuracy and attention to detail

 

What we’re looking for

 

  • Demonstrated experience in an administrative and/or support service role, ideally within a high-volume, fast-paced environment
  • Advanced proficiency in MS Office, particularly Outlook, Word and Excel, with the ability to confidently manage high volumes of emails, document and data with accuracy
  • Strong verbal/written communication skills, including the ability to interact professionally with internal stakeholders and emotionally distressed members of the public
  • Exceptional attention to detail, with experience in maintaining accuracy and quality when working under pressure and within tight timeframes
  • High-level organisational skills and time management skills, including the ability to prioritise competing demands, manage frequent interruptions and meet deadlines
  • Demonstrated ability to work with highly sensitive, emotive and sometimes distressing information relating to children, requiring resilience, discretion and professionalism

A Talent Pool may be created for future ongoing and temporary roles and is valid for a period of up to 18 months. Priority will be given to filling the role at Parramatta.
