Reporting to the Manager Governance, this is an exciting opportunity to work with the Executive Leadership Team, Councillors, and wider organisation.

As the Coordinator Council Business, utilise your strong attention to detail and organisational skills to deliver on the effective implementation and achievement of high-quality administrative support for Councillors and Council.

You will be the key internal point of contact for queries in relation to how Council and Committee meetings operate, with responsibility for ensuring agendas and minutes for Council and delegated committees are compiled and distributed in accordance with strict timeframes; various statutory registers are maintained; and Council Policies and Operational procedures are regularly reviewed.

Key responsibilities include:

  • Supervise the preparation, distribution, and electronic facilitation of agenda papers for various Council meetings and briefings.
  • Serve as the primary liaison for internal and external inquiries regarding meeting procedures and governance rules.
  • Ensure accurate documentation of meeting minutes and resolutions, adhering to confidentiality protocols.
  • Maintain and update Council policies and operational procedures in alignment with organisational goals.
  • Provide administrative support for Council business tasks and maintain relevant databases.
  • Coach and support staff in effective communication, report writing, and policy adherence.
  • Provide supervision and guidance to the Council Business Officer.

About You:
To support your success in this role you will have:

  • Demonstrated high-level administrative experience in a local government environment, or similar large organisation.
  • Ability to draft reports and correspondence to a high level, with attention to detail.
  • Highly proficient in the use of Microsoft Office programs.
  • Strong interpersonal skills and relationship management expertise.
  • Excellent written and verbal communication skills.
  • Ability to provide administrative support with the development of policies and procedures and administration systems.
  • Ability to communicate and ensure critical deadlines for council briefings and meetings are met by key stakeholders.
  • Ability to set up databases to capture and track information related to responsibilities of the role and to analyse and provide reports on data as required.
  • A relevant tertiary qualification in business/commerce (or similar) is required, and/or extensive experience in government administration along with well-developed computer skills, with the ability to work in a dynamic, service focused environment.
