Position Summary

The Office Administrator is responsible for providing high quality administrative support to the leadership team and Company Directors in accordance with relevant legislation, Incat Tasmania policies, organisational directives and work instructions.

Working across executive support, reception and administrative support, this role will act as a first point of contact for the organisation and deliver timely, accurate and effective administration services to a variety of stakeholders. This position is required to build strong working relationships across the company and coordinate Incat’s day-to-day administrative requirements.

This permanent part-time position is based onsite and offers a minimum of 30 hours per week. The successful candidate will ideally be available to commence work by 9:00am across five days per week.

Qualifications and Experience

  • Proven experience in a comparable office administration role with minimum three (3) years’ experience

  • Experience and proficiency with Microsoft Office suite

  • Experience with office administrative practices and procedures

  • Experience supporting a number of senior leaders

  • Excellent communication and interpersonal skills with a broad range of stakeholders

  • Strong organisational and time management skills

  • Detail focused and strong problem-solving skills

  • Very high level of confidentiality and discretion

  • High level of computer literacy

Key Responsibilities

  • Provide general administrative and executive support to the Incat leadership team and Company Directors across a variety of areas including calendar management, filing, event coordination, preparing expense reports, document preparation, and other duties as required

  • Organise travel and visa arrangements for executive team and other departments, including domestic and international

  • Coordinate general office tidiness, maintenance of common office areas and meeting rooms

  • Organise and execute company functions and events

  • Coordinate and order company promotional and branded items, and coordinate distribution to workforce

  • Coordinate and maintain Incat’s contact management database and MailChimp account

  • Welcome and direct visitors to the worksite as appropriate

  • Answer and direct phone calls at reception to the relevant work area

  • Collate employee absentee calls and provide reporting to HR department

  • Coordinate employee of the month with HR department

  • Ensure stationary and general office supplies including consumables are ordered and maintained

  • Assist in the preparation of corporate documentation and draft correspondence
