ABOUT THE ROLE
This newly created fixed-term position supports Council’s delivery of Disaster Recovery Funding Arrangements (DRFA) projects across the region. As the Administrative Assistant (DRFA Projects), you will provide essential coordination and administrative support to the Civil Works team, ensuring that key project activities and deliverables are completed on time, within budget, and in line with funding requirements.
Reporting to the Senior Administration Officer (Civil Works), you will be responsible for maintaining project schedules, supporting financial tracking, preparing reports, entering data into systems such as the Queensland Reconstruction Authority’s MARS portal, and assisting with day-to-day administrative tasks. The role requires accuracy, strong time management, and a proactive approach to supporting a fast-moving, high-impact program of work.
This is a full-time, two-year fixed-term opportunity based within the Works team.
ABOUT YOU
You are an experienced administrator who thrives in a project-driven environment. You have the ability to manage competing priorities, maintain accurate records, and contribute to a collaborative team culture. Your attention to detail, organisational skills, and ability to work to deadlines are key strengths, and you take pride in delivering work that is both timely and accurate.
You are confident using a range of digital tools, particularly Microsoft Office applications such as Word and Excel, and you are comfortable learning and using new systems such as Council’s document management software and external portals like QRA MARS. You are also a clear communicator, able to build positive working relationships with both internal and external stakeholders.
Previous experience in local government or infrastructure project support is desirable, as is a qualification in Business Administration or Project Management. However, your ability to stay organised, your commitment to quality service delivery, and your willingness to contribute to the success of the DRFA project will be what sets you apart.
Key responsibilities will include, but are not limited to:
- Co-ordinate appointments, meetings and maintain electronic calendars
- Assisting Project Manager schedule project deliverable dates & timelines
- Provide clerical and accounting support to Council’s Flood Restoration Management team
- Create/ process purchase orders in line with the Council’s purchasing requirements
- Correlate invoices with purchase orders ready for payment approval
- Input data where required into the Queensland Reconstruction Authority – MARS portal software
- Assist with the compilation of reports including research and collation of data required for content
