We are currently seeking a Wine Administrative Assistant to join our growing team in a full-time role for a 6 month contract, with the possibility of extention.
Position Overview:
The Wine Administration Assistant role provides essential administrative, operational, and customer service support across winery production and warehousing. This role is responsible for maintaining accurate product data, supporting production workflows, managing container deposit scheme requirements, and assisting with order packing and dispatch during peak periods. Clear communication, attention to detail, and strong organisational skills are essential.
Key Responsibilities:
Vinsight Administration (Backend)
- Build and maintain product records within Vinsight, including creation through to finalising packaging runs.
- Enter and verify pricing information to ensure accuracy across inventory and sales systems.
- Monitor data integrity and troubleshoot discrepancies in collaboration with production and finance teams.
- Documentation of Vinsight processes.
- Work with suppliers to ensure timely recording of items received in.
Container Deposit Scheme Management
- Ensure compliance with relevant state-based container deposit scheme regulations.
- Maintain accurate reporting and documentation for CDS requirements.
- Coordinate with third-party CDS partners and internal stakeholders as required.
Order Packing & Warehouse Support
- Assisting with pick, pack, and prepare customer orders for dispatch.
- Safely lift and move boxes of up to 15 kg.
- Assist with stock organisation, inventory checks, and warehouse coordination when required.
Customer Service
- Respond to customer enquiries via email in a timely, professional manner.
General Administrative Support
- Provide administrative assistance to production, operations, and sales teams as needed.
Skills & Experience
Essential:
- Experience in administrative or operational support roles.
- Strong attention to detail and accuracy in data entry.
- Ability to organise, prioritise, and manage multiple tasks.
- Proficiency with Office and Gmail. (Vinsight experience highly desirable).
- Ability to lift and move items up to 15 kg.
- Clear written and verbal communication skills.
- Experience liaising with suppliers or external stakeholders.
- Basic understanding of asset management processes and logical project flows
- Understanding of OHS policies and procedures within a warehouse environment
Desirable:
- Prior experience within the wine industry, beverage sector, or manufacturing environment.
- Knowledge of container deposit scheme compliance.
- Familiarity with inventory, production, or warehouse systems.
- Forklift license.
